Purpose
When a unit stops in the pit, the news usually comes by radio, in a message, or on a sheet filled in after the shift. The office still needs three answers: how long the unit was down, whether the service was already due, and whether the part was on the shelf.
Jagalat keeps that record for the company: the unit, the job, the hours down, the person assigned, and the part. The office can see which units are down now, and availability for the last 30 days from each site's shift hours. The monthly PDF is the same record for one site.
This is the maintenance record for the fleet. Invoices and payroll stay outside Jagalat.
The process
A company is ready when these six steps have been done once, on a real unit.
- Each site has its units. A unit has a fleet code, an hour meter (SMU), and a status: Running, Down, Standby, or On PM.
- The office opens a job on the unit. The job is a breakdown, a planned PM, or other work.
- A breakdown sets the unit to Down and starts one downtime clock. A PM sets a running unit to On PM and does not start that clock.
- The assigned technician opens the job on the phone, starts it, does the work, and completes it with a new SMU. The unit returns to Running or Standby. The time between the stop and the return is the downtime.
- If the job needs a part and the phone has a signal, the office reserves the part and the store issues it from that site's shelf.
- The dashboard and the monthly report are built from those jobs. The log shows who started a job, held it for parts, issued a part, or closed it.
- Words — what SMU, Down, reserve, and issue mean
- Admin and planner — sites, units, the plan, and the jobs
- Supervisor — open a job, assign it, and close it
- Technician — start and complete the job on the phone
- Store — issue the part from the shelf
- Operator — open a company. Most workshops never use this page
The first week
Ready means one real unit can go down, a technician can complete the job, and the dashboard shows the hours. The first admin does the steps below.
Photos, a full parts list, checklist steps, and the monthly PDF can wait until this has been done once.
- Sign in. On People, add the planner, the supervisor, the technicians, and the store. Give each person the password outside Jagalat.
- Add one site and set its real shift hours. A pit is often 20 hours. A workshop is often 10.
- Add the units that work there. Use the fleet code painted on the machine, and today's SMU.
- Open one job on a real unit and assign a technician.
- That technician opens Field, starts the job, and completes it. The unit returns to Running or Standby.
- Open the dashboard. The hours from that job are included in the last 30 days.
If you were given a phone
The office opens the job. You start it and complete it on the phone, so the unit can go back to work. Read the Technician page next.
